How to create bid packages & Upload bids
Access the Bids Section
Navigate to the Financial tab in BuilderTrend.
Select Bids to access the bidding feature.
2. Create a Bid Package
Click Create Bid Package.
Define the scope of the bid package:
For individual trades: Create separate bid packages (e.g., plumbing, drywall).
For multiple trades under one contractor: Combine trades into a single package (e.g., demo, hauling, flooring, plumbing).
Name the bid package accordingly.
3. Enable Multiple Approved Bids
Ensure the "Multiple Approved Bids" checkbox is selected to allow for flexibility in bid approvals.
4. Add Line Items and Cost Codes
For each line item:
Enter a title and associate it with the appropriate cost code (e.g., materials and labor).
If the bid covers multiple trades, use a general "Multiple Trades" cost code.
Add a description if the scope requires specific details.
5. Upload Attachments
Attach any relevant project documents (e.g., plans, photos) for the contractor’s reference.
If communicating outside BuilderTrend (e.g., via text or email), upload those materials to track what was shared.
6. Save the Bid Package
Review all entries and click Save to finalize the package.
Managing Subcontractor Bids
1. Reach Out to Subcontractors
Start contacting subcontractors to bid on the package.
If a subcontractor is not yet in the system, follow the company’s SOP for setting them up as a vendor.
2. Add Subcontractors to the Bid Package
Once a subcontractor (e.g., Ezekiel) is set up as a vendor, add them to the bid package.
Save their information in the bid package.
3. Upload Received Bids
Open the bid package and upload the bid document submitted by the subcontractor.
Click Edit Bid and complete the following:
Quantity: Ensure the correct quantity (e.g., 1) is entered to prevent errors.
Price: Enter the subcontractor’s bid amount.
Save the bid details.
Reviewing and Comparing Bids
1. View All Bids
In the bid section, click All Bids under the specific project to see submitted bids.
Each bid will be displayed as a separate entry under the package.
2. Compare Details
Click on a bid to open and review its details, including the uploaded bid document, pricing, and scope.
3. Add Additional Bids
If another subcontractor submits a bid, repeat the upload and editing process to include their bid in the package.
